Frequently Asked Questions
A full-service event planning company manages every aspect of an event from initial strategy through day-of execution, serving as a single point of contact so you’re not juggling multiple vendors. This includes venue sourcing, budget management, speaker and sponsor coordination, attendee registration, and on-site management. At Utopia Experience, we handle all of it so you get your time back and nothing falls through the cracks.
Both, depending on what you need. We meet you where you are. Some clients bring us in early and want us involved in everything. Others have been owning this event for years and just need an experienced team to fill the gaps. We figure out what that looks like together on our first call.
Not necessarily. If there’s enough runway, we’ll jump in and own it with you. If the timing is too tight for that, fly us out anyway. We’ll observe with fresh eyes, deliver a full audit of what we’d evolve, and hit the ground running on the next one together.
We hear this a lot.. You’re probably already convinced you need help. The harder conversation is with the people above you. Most organizations are already spending more than they realize in staff time, missed details, and mental bandwidth pulled away from actual jobs. Bring us into the conversation early and we’ll help you make the case.
Both, and that’s actually what makes us different. Most event planners outsource AV and video to separate vendors. We have an in-house team that handles event planning, AV production, and video under one roof.
We specialize in conferences, nonprofit galas, and corporate events. Our sweet spot is typically 200 to 2,000 attendees, though we’ve produced events well beyond that. Honestly, not everyone is a fit. We only take on a limited number of clients each year because every event we take on gets our full attention. That’s what our discovery call is for. We’ll ask about your event, your goals, and where you’re feeling the pressure. If we’re the right team, we’ll tell you how we can help. If we’re not, we’ll be honest about that too. We’d rather save your time than waste it.
