A Conference Built for a Growing Franchise
Every year, Lightbridge Academy brings its franchise owners together in a new city to connect, celebrate, and align on what’s next. This year it was Orlando, under the theme A World of Possibilities: Creating Magic Every Day. With this early education brand scaling fast, the conference had to match where they’re headed — so Utopia produced it end to end: planning, audiovisual, registration, and an awards night to close it out.

The Whole System, in One Room
A franchise conference is the one room all year where the whole system shows up — the corporate team, franchise owners, and partners, all in one place. And when the host city changes every year, none of the logistics knowledge carries over from the last venue. For an early education brand growing as fast as Lightbridge, that room still has to feel like the next chapter, not last year’s playbook.
So we ran the whole thing: full planning and onsite management, audiovisual production across the main stage and three concurrent breakout rooms, the registration platform and check-in, hotel and venue negotiation, food and beverage, sponsorship and the vendor hall, and creative theming throughout — every moment on one run of show, run by our team on the ground.
What makes this one worth telling: year one, Lightbridge brought us in for a defined piece of the event. Year two — this one — they handed us the whole thing. And they’ve already booked us for year three. For any franchise weighing whether to bring in an outside event team, we’d love to help. Let’s talk.

Owners Chose Their Own Path
General sessions brought everyone together, while multiple breakout tracks ran at once so owners could choose their own path — HR and people strategy, enrollment and growth, real estate and construction, risk and insurance, competitive analysis, and finding hidden revenue inside existing operations. A franchisee-led panel put the brand’s own operators on stage to share what’s actually driving growth. Throughout, an exhibitor hall gave partners and vendors a space to connect with owners between sessions.
Because we built and ran the registration platform, the Lightbridge team could see exactly which sessions each attendee chose, giving them session-by-session attendance data to plan next year around.

On and Off Property: A great conference doesn’t stay in the ballroom. The three days opened with a welcome party at The Edison in Disney Springs and included offsite experiences at Epcot — moments that turn a work trip into the reason people clear their calendars every year. We handled the logistics so the corporate team could just show up and enjoy it alongside their franchisees. Some owners even extended their stay and brought family along, the location made it easy!
The Awards Ceremony: Sunset Soirée
This is the night the hard work gets seen. Franchise owners spend the year heads-down building their centers — the awards ceremony is where that work gets celebrated, in front of peers.
Every year the theme changes, and it’s become the night franchisees look forward to most, the one they show up dressed for. This year’s was the Sunset Soirée: a room washed in deep plums, warm pinks, and burnt orange, with stage lighting and uplighting carrying the palette into an ombré that stretched across the room like dusk settling in.
For a lot of owners, this is the night that makes the trip worth it — some who flew in from across the country, recognized for what they’ve built, celebrating together.

Client Testimonials
“Bringing in an event planner that was a complete package like Utopia was, without a doubt, the smartest decision we ever made. The Cvent registration platform alone would’ve been a full-time job to set up. And Abby has been amazing. Conference planning is just not our area. Pipe and drape, podiums, photographers, lavalier mics, AV — we didn’t know any of it. Utopia did. You walk your talk. And if you didn’t, we wouldn’t be here today.”

Why Choose Utopia Experience?
We Understand What’s at Stake
Events like this aren’t just gatherings—they’re investments. Attendees travel nationally, take time away from their businesses, and show up expecting transformation. We treat every technical detail with the weight it deserves. Every single time.
We Adapt When It Matters Most
High-profile speakers, tight timelines, last-minute changes — live events rarely go exactly according to plan. We’ve worked with NFL legends, bestselling authors, and stages packed with A-list talent. What separates good planning teams from great ones? The ability to pivot without panic, so when something shifts, the audience never knows.
Complex Is What We Do
Site selection alone — finding the right city, sourcing the right venue, negotiating the contract, and building offsite experiences around it — is a full project. Add main stage production, breakout rooms, a vendor hall, registration, food and beverage, and a themed awards night, and you have a scope most internal teams can’t absorb on top of their existing jobs.
